Unlocking Workforce Flexibility in Plex ERP: Why These Settings Matter

Modern manufacturing and operations environments demand agility. Employees often wear multiple hats, supervisors need coverage, and systems must reflect real-world organizational complexity.

Out of the box, Plex ERP assumes a relatively linear, one-person-to-one-role structure. However, real-world shop floors are rarely that simple. To bridge the gap between rigid system constraints and dynamic daily operations, Plex administrators can leverage two often-overlooked settings: Additional Positions Use and Backup Person Logic Use.

Here is a deep dive into why these configurations matter, how they work together, and how to implement them to eliminate operational bottlenecks.

The Core Issue: System Constraints vs. Real Operations

In a typical manufacturing facility, organizational structures fluidly shift:

  • Multi-Role Employees: An employee might act as a machine operator in the morning and a team lead in the afternoon.

  • Non-Linear Reporting: Reporting structures aren't always strictly top-down.

  • Workflow Continuity: Time and attendance approvals must happen on time, even if a supervisor is out sick.

Without the right settings enabled, mapping these realities into Plex ERP creates friction. Administrators frequently run into errors when assigning "Reports To" relationships in Job Descriptions, struggle to model multi-role personnel, and face severe gaps in approval workflows when key personnel are absent.

Solution 1: Additional Positions Use

Key Takeaway: This setting enables multi-role employee modeling and is required for proper role associations.

What it Does

  • Allows a single employee record to hold multiple distinct positions within Plex.

  • Supports accurate, granular role-to-position mapping.

  • Enables seamless hierarchy configuration within Job Descriptions.

Critical Dependency

If your system has Additional Position Role Association Use turned on, then Additional Positions Use must also be enabled. If they are mismatched, the system will generate persistent errors—particularly when you try to assign reporting relationships.

Business Impact

  • Eliminates Configuration Errors: Stops the system from throwing errors during hierarchy setups.

  • Accurate Workforce Modeling: Reflects lean, cross-functional staffing without duplicating employee records or creating messy data workarounds.

Example: A production lead who also steps in as a quality auditor can be assigned both distinct roles seamlessly, ensuring their compliance and reporting logic remain intact for both functions.

Solution 2: Backup Person Logic Use

Key Takeaway: This setting ensures operational continuity by enabling backup personnel and improving Time & Attendance filtering.

What it Does

  • Defines an explicit, system-recognized backup employee for specific roles.

  • Empowers backup personnel to act on behalf of the primary employee when they are unavailable.

  • Infuses enhanced, context-aware filtering capabilities into Time & Attendance screens.

Business Impact

  • Prevents Workflow Bottlenecks: Backup supervisors can approve time records (provided they have the appropriate permissions), ensuring payroll processing is never delayed.

  • Improves Compliance: Keeps timekeeping, approvals, and labor management tasks moving according to company policy, even during unexpected absences.

Combined Value: Better Together

When you enable both configurations simultaneously, your ERP transitions from a rigid database into a dynamic reflection of your shop floor.

FeatureWithout These SettingsWith Both Settings Enabled
Org StructureRigid, one-to-one mappingDynamic and multi-dimensional
Approval ChainsBreak down during supervisor absencesRemain completely intact via backups
Time & AttendanceProne to manual workarounds and delaysResilient, efficient, and context-aware

Implementation Checklist

To unlock this functionality and avoid configuration errors, follow these steps in your environment:

  1.  Navigate to the Settings Manager.

  2.  Search for Additional Position Role Association Use and confirm it is Enabled.

  3.  Search for Additional Positions Use and ensure it is also Enabled.

  4.  Search for and Enable Backup Person Logic Use.

  5. Search for and Enable Backup_Person_Display

  6.  Open your Employee Job Descriptions and configure the newly active Back Up fields or the "Additional Positions". Additional Positions will update the security roles in the user account to have the new roles associated tie the position.

** Consider creating a custom report to manage this setup

Trade-offs and Considerations

While the benefits are clear, unlocking this level of flexibility requires intentional governance:

  • Configuration Complexity: More flexibility means your HR and ERP administration teams must be diligent during initial setup.

  • Permission Management: You must ensure that backup users actually possess the underlying security permissions required to execute tasks (like timecard approvals) when they step in.

  • Data Governance: Multiple roles and backup assignments require routine auditing to ensure system hierarchies don't become outdated as people change departments.

The Bottom Line

Enabling these settings transforms Plex ERP from a rigid constraint into an empowering workforce management tool. By aligning your digital system with your actual manufacturing dynamics, you achieve fewer administrative errors, smoother shift handoffs, and a more resilient operational footprint.
